Role Summary 

As a Consultancy Admin Assistant you will provide end-to-end support for fire safety consultancy services, including coordinating Fire Risk Assessments, client communication, scheduling via SimPRO, and managing training bookings. You will handle subcontractor enquiries, arrange surveys, and support invoicing. Liaise with internal departments and clients to ensure smooth operations and contributed to upselling and service delivery improvements. 

Key Responsibilities 

  • Providing support to the Consultancy Team with the delivery of Fire Risk Assessments plus all Consultancy Services to Fire Rite’s client base, developing good relationships with said clients, and providing a smooth interface between team members, clients, and internal departments 
  • Determining action plans from fire risk assessments and upselling services to customers, liaising with all departments to maximize sales potential 
  • Management of subcontractor enquiries 
  • Arranging site surveys 
  • Helping plan job timetables 
  • Taking client bookings & liaising with Fire Safety Training Consultant & Fire Safety Course Trainers to manage delivery of a range of Fire Safety Training Courses 
  • Scheduling jobs on SimPRO, create and release consultancy related documents to clients 
  • Answering the telephone and dealing with client queries, recording any messages or requests, managing and resolving queries 
  • Working from a shared email inbox 
  • Providing administrative back up of services and liaise with other internal and external stakeholders including the clients, suppliers, sales and technical departments 
  • The role will also involve on-site training provided by both our IT providers and current staff 

Key Skills & Attributes 

  • Microsoft Office 
  • Must have an ability to adapt to bespoke software (SimPRO & FCS) 
  • Ability to build external and internal relationships 
  • Good understanding of SLAs, KPIs 
  • The ability to work flexibly and to adapt to demanding situations to ensure the highest level of service without compromise 
  • The ability to prioritise and work well under pressure in a thorough and methodical manner 
  • Demonstrate tact, understanding and empathy in all communications with customers 
  • Good communication skills 
  • Punctual, polite and keen to work as part of a busy fire safety team.
