Role Summary

We are looking for a diligent individual who can provide full executive support primarily to one of our Directors, plus the wider Board of Directors Members with diary management, meeting preparation, relationship management, event attendance and travel administration and work on specific projects and research as required. To support and develop key internal and external stakeholder relationships and in addition, the post holder will liaise with relevant companies to ensure our presence at external events runs smoothly and includes the relevant internal stakeholders

Key Responsibilities

  • Manage and maintain the Director’s diary and ensure that the Director is fully prepared for all meetings and engagements with relevant briefing notes.
  • Conduct regular diary meetings with the Director to discuss upcoming engagements and invitations and all other requests for the Directors’s time. Responding to invites and making necessary arrangements.
  • Work on delegated projects and research as directed to support the Director in their meeting preparation.
  • Schedule meetings between the Director and their direct reports and the committees and groups of which they are a member.
  • Liaise with external event organisers and hold the administrative and organisational responsibilities related to our external event calendar.
  • Filter general information, queries, phone calls and invitations to the Director by redirecting or taking forward such contact as appropriate.
  • Undertake desktop research as necessary to support the Director’s preparation for meetings and presentations.
  • Keep and maintain an accurate record of papers and electronic correspondence on behalf of the Director.
  • Handle confidential information; organise and maintain files.
  • In the absence of the Director, prepare correspondence on their behalf.
  • Provide ad-hoc executive support to the Board of Directors as required.
  • Diarising Board and subcommittee meetings
  • Ensure all management/ staff meetings are coordinated, rooms pre-booked, refreshments available and all the necessary technology is working to ensure effective communications.
  • Ad-hoc project work as required from time to time
  • ·Any other reasonable duties as required

Person Specification

Essential:

  • Strong literacy and verbal reasoning and proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars.
  • Strong planning and organisational skills, able to adapt and respond to the unexpected. 
  • Confident, proactive, self-motivated and organised approach.
  • Proven track record in building relationships with multiple stakeholders
  • Reliable, responsive, discrete, confidential and diplomatic.
  • Calm under pressure of short deadlines and unexpected change of plans. 
  • Comfortable in a fast-paced environment with multiple tasks
  • Ability to effectively structure own time and implement a transparent, organised approach to workflow management.
  • Confidence to raise issues if clarification is needed
  • Problem-solving/ solution orientation.
  • Good eye for detail and commitment to high quality outcomes.

Desirable:

  • Knowledge of standard office administrative practices and procedures.
  • Experience of working with a Board of Directors
