Job Title: Passive Fire Works Coordinator
Reports to: Passive Fire Department Manager
Location: Based in Caerphilly, working area Wales and WOE
Salary: £24,375.00 per annum + benefits

About the Role
We are looking for an organised and confident coordinator to support the delivery of our passive fire works. This role plays a key part in keeping projects running smoothly, compliantly, and on schedule by managing planning, communication, and information flow — allowing site teams to focus on installation quality.
You don’t need to be a passive fire expert. What matters is your ability to organise, communicate clearly, and keep multiple jobs moving in a live environment.
Key Responsibilities: (to include, not exclusive to)
- Contacting tenants, residents, and site contacts to arrange access for works
- Making and receiving calls, sending follow-up emails, and confirming dates and times
- Handling reasonable access issues or constraints professionally and calmly
- Working closely with supervisors and section leads to coordinate work schedules
- Supporting programme planning, sequencing works, and flagging clashes early
- Adjusting schedules when plans change due to access or site conditions
- Collating and maintaining job information, including inspection data, scopes, and access notes
- Providing clear progress updates and status information to clients
- Updating trackers, schedules, and internal systems
- Logging variations or changes and ensuring accurate information flow across the team
Qualifications & Experience
Essential:
- Are naturally organised and detail-focused
- Are confident on the phone and comfortable dealing with residents, clients, and suppliers
- Can juggle multiple live jobs without losing track
- Understand the importance of compliance and accuracy
- Are adaptable and calm when plans inevitably change
Desirable:
- Experience in construction, housing, maintenance, compliance, or scheduling is desirable but not essential
- Experience dealing with residents or live environments is a strong advantage
- Passive fire experience is not required — full support and training will be provided
